    LiveOnNY is one of the largest organ procurement organizations in the country. Its mission is to recover organs and tissues for those in need of life-saving and life-improving transplants and to increase awareness and understanding of donation among health care professionals and the general public. With respect and compassion, we provide individuals with the knowledge required to make informed decisions about donation. The Executive Assistant performs administrative work and otherwise relieves business detail of the President & CEO, manages general office functions and handles Board of Directors respnsibilities. Supports and fosters the mission of the organization and its commitment to organ and tissue donation.

    Responsibilities

     

     

    Schedules all appointments and meetings for the President & CEO, as requested, both internal and external, and maintains a calendar. Greets Administration visitors, handles their requests whenever possible or otherwise directs them to appropriate personnel.

     

    Schedules Board of Directors and any other internal or external corporate meetings as requested. This may include coordinating catering arrangements, making room reservations, preparing agendas, arranging for audio/visual equipment, as well as, preparing and processing all related paperwork and maintaining related files and records. Sends notification of meetings and packets to all participants. Records, types, and maintains files of the Minutes of the meetings of the Board of Directors.

     

    Opens, reads, and routes incoming mail and attaches appropriate file to correspondence to be answered. Composes and types letters, memos, forms, and special reports. Creates presentations (layout and design). Prepares and distributes correspondence and other materials via mail, facsimile, Email, or other carrier as needed, and completes all related paperwork according to office procedure.

     

    Answers telephone calls for the President & CEO, handles all routine requests for information, and routes calls as needed to appropriate personnel. Places outgoing calls and arranges teleconferences, including processing all related paperwork and purchase requisitions as needed.

    Establishes and maintains a computerized contacts database and maintains an accurate filing system.

     

    Schedules and arranges travel and lodging and prepares and processes all related paperwork. Assembles, audits, and compiles business expenses according to procedure. Receives and delivers orders; Prepares and processes related purchase requisitions.

     

     

     

     

     

    Qualifications

    Associates degree (A. A.) or equivalent required and five to seven years related experience and/or training. Bachelor’s degree preferred. Previous experience working with C-Suite required.
