The Administrative Assistant: Coordinates and schedules appointments, gives information to callers, orders supplies, files, composes correspondence and otherwise relieves Vice President Clinical Services and SVP Clinical Services of clerical work and minor administrative and business duties. Performs a wide range of administrative and office support functions for the management and department to facilitate efficient operation. Supports and fosters the mission of the organization and its commitment to organ and tissue donation.
This is an on-site role
Takes minutes at meetings, as requested, composes and distributes written minutes in timely manner.
Composes and types routine correspondence, as well as special reports.
Arranges travel and lodging for conferences, seminars and meetings for assigned staff.
Establishes and maintains files, correspondence and other records.
Answers telephone and gives information to callers or routes call to appropriate personnel and places outgoing calls.
Opens, sorts and distributes all incoming mail and sends outgoing mail. Assists in department mailings.
Schedules appointments (internal & external) for assigned staff.
Greets visitors and directs visitors to appropriate person.
Makes copies of correspondence or other printed materials
Provides reception and telephone relief for Receptionist/Secretary, as needed.
Orders office supplies and equipment used by Preservation/Tissue Recovery departments. Prepares purchase requisitions and check requests, as necessary.
Other duties may be assigned.
Associate's degree (A. A.) and two to four years related experience required. Bachelor’s degree preferred.
Knowledge of administrative and clerical procedures such as Microsoft Office and Outlook, managing files and records. Hospital experience and familiarity with medical terminology required.
Ability to read and comprehend instructions and correspondence. Ability to write and edit correspondence. Ability to effectively present information in one on one and small group situations to customers, clients, and other employees of the organization
Type 50+ wpm; proficient PC-based word processing programs (i.e. Word, Excel and PowerPoint
While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently required to sit. The employee is occasionally required to stand and walk.
The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include the ability to adjust focus.
